Diplomas are rarely translated ‘for the records’. More often, the purpose is specific: applying to a foreign university, seeking employment abroad, participating in an international educational program, confirming qualifications, applying for immigration documents, or obtaining official recognition of one’s education in another country.

If your surname has changed since you received your degree, a translation of a marriage certificate, a name change certificate or another document explaining the discrepancy in personal details is often included in the package.

Why the translation of a diploma requires particular accuracy
The greatest challenge in translating diplomas lies not in the volume of text, but in its content. Educational documents have their own terminology, structure and logic. It is essential to accurately convey the academic degree, field of study, specialism, professional qualification, mode of study, thesis topic, marks, credits, registration numbers and official endorsements.rnrnA literal translation is not always helpful in such cases. Ukrainian names for academic degrees, specialisms, or qualifications do not always have exact equivalents in other languages. The translator’s task is to convey the meaning correctly, without distorting the official wording, whilst ensuring it is understandable to a foreign institution.rnrnProper nouns require special attention. The name of the university, faculty, department, town or village, as well as the surname, first name and patronymic, must be rendered consistently and correspond to the client’s other documents. If a particular spelling of the name in the Latin alphabet already appears in the foreign passport, the translation of the diploma must reflect that exact spelling.
Notarised translation of a diploma and apostille
In many cases, a translation alone is not sufficient. If the document is submitted to a government body, consulate, university, immigration authority, employer or professional organization, a notarised translation may be required. This means that a notary certifies the translator’s signature, and the translation is attached to a copy of the document or another prepared copy.rnrnIt is important to understand that notarisation does not replace a high-quality translation. A notary does not check academic terminology, nor do they assess the accuracy of the translation of a degree program or qualification. The translator and the translation agency are responsible for the translation's content.rnrnIf a diploma is being prepared for submission abroad, the question of an apostille often arises. In many cases, the apostille must be affixed first, and only then should the entire set be translated: the diploma itself, its supplement, the text of the apostille, the seals, signatures and official stamps. If the translation is completed before the apostille is affixed, the document may need to be supplemented or retranslated.rnrnTherefore, before ordering a translation, it is best to clarify straight away for which country and institution the document is being prepared. This will help determine the correct sequence of actions and avoid revisiting completed work.
Common mistakes when translating diplomas
