Translation of a passport

One of the most common questions when ordering a passport translation is very simple: what exactly needs to be translated? The answer depends on the type of passport, the country or institution to which it is being submitted, and the specific procedure.

In most cases, the main page of the passport containing the holder’s personal details is translated: first name, surname, date and place of birth, nationality, gender, document number, date of issue and expiry date. However, this is sometimes not enough. If the passport contains important endorsements, visas, border-crossing stamps, extensions of the document’s validity, or official notes, a translation of these pages may also be required.

In the case of a Ukrainian passport in booklet form, pages containing details of place of residence, marital status or other entries are sometimes translated. With an ID card, a separate translation of an extract or certificate of residence is often required, as the card itself may not contain all the information a foreign authority expects.

A passport translation can be prepared in various ways. For some, a translation bearing the stamp of a translation agency is sufficient, whilst others require the translator’s signature to be notarised. This is where confusion often arises: clients hear the phrase ‘notarised translation’ but may not always understand exactly what it means.

A notarised passport translation usually involves a qualified translator carrying out the translation, after which a notary certifies the authenticity of the translator’s signature. In other words, the notary does not translate the passport and does not replace the translator’s work. Their role is to officially confirm that the document was signed by a specific person who holds the relevant qualifications.

This format is often required when submitting a passport to government bodies, the immigration service, a notary, a bank, a court, an educational institution, a consular office or any other organization that only accepts officially certified documents. At the same time, it is not always necessary to automatically opt for a notarised certification. Sometimes a simpler format is sufficient. It is therefore important to understand exactly why the translation is needed before proceeding.

There isn’t much text in a passport translation, but there is a great deal of responsibility involved. A single letter in a first name, an incorrect date, a missing character in the passport number, or an inaccurately rendered abbreviation can create a problem where there shouldn’t be one.

Particular care must be taken with the spelling of the first name and surname. If the client already has documents in a foreign language – such as a visa, diploma, permit, certificate or contract – it is advisable to ensure that personal details are spelled consistently. Otherwise, different documents may contain several variations of the same name, and for a bank, notary, immigration authority or consulate, this is no minor matter.

Transliteration is a separate issue. The same Ukrainian or foreign name may have several different spellings in the Latin or Cyrillic alphabets. The translator’s task is not simply to render the text, but to do so in a way that ensures the translation is consistent with the client’s documents and suitable for official use.

For a foreigner in Ukraine, having their passport translated is often the first step towards legal residence, work, study, business or personal legal matters. Without it, it is difficult to obtain an identification code, a residence permit, a residence registration, a bank account, a marriage certificate, a power of attorney, or a contract.

In practice, the difficulty often lies not in translating a word or phrase itself, but in the details. How should a foreigner’s name be rendered correctly in Ukrainian? Should the Latin spelling be included alongside it? How should the issuing authority, place of birth, nationality, series and document number be formatted? What should be done if the passport contains stamps, visas or official endorsements?

Particular care must be taken when working with passports of citizens from countries where personal data is structured differently: multiple first names, double surnames, the absence of a patronymic, or a different order of first name and surname. In such cases, the translator must not ‘force-fit’ the document into the usual Ukrainian format, but must accurately convey the details of the original.

A Ukrainian passport may be required abroad in various situations: for study, work, long-term residence, opening a bank account, submitting an application to a government body or participating in legal proceedings. A foreign organization usually requires not just a copy of the document but a clear, correctly formatted translation.

Requirements may vary even within a single country. In some places, a translation into English will be accepted, whilst in others a translation into the country’s official language will be required. In one institution, a translation agency’s stamp may suffice, whilst another may request notarisation, a sworn translation, an apostille or another form of legalization.
